Every Monday, Stedia prepares payment reminders.

Stedia finds past-due invoices in your open items list and drafts a payment reminder for each customer. During setup you decide whether reminders go out on their own or wait as drafts. On the 1st it drafts the cash flow overview, and incoming receipts land in the right folder in SharePoint or OneDrive.

How it works

  1. Stedia reads the numbers

Your open items list, your sheets and incoming mail, on the schedule you set.

  2. It prepares the work

A reminder per customer, the cash flow overview as a PDF, receipts sorted into folders.

  3. You decide what goes to customers

Reminders go out only if you allowed sending, otherwise they wait as drafts. Filing runs on its own once you allow it.

In detail

Reminders on Mondays

Every Monday, Stedia reads your open items list in Excel or Google Sheets, or in your accounting software through its API, and picks out what is past due. For each customer it drafts a reminder in Gmail with invoice number, amount and due date. If you allow only drafts during setup, the reminders wait for you in Gmail. With an action preset on “Send email”, every reminder goes out in your own email layout, with logo and footer.

The cash flow overview on the 1st

On the 1st of the month, Stedia reads your sheets, including the formulas behind the figures, and drafts the cash flow overview: what came in, what went out, what is still open. Ask for it “as a chart” and the bars appear in the PDF too. The PDF is printed on your stationery and waits under “Resources → Files”, filtered by “Schedules”.

Receipts in the right folder

Stedia goes through new mail at a fixed interval, opens each attached receipt and reads supplier, date and amount. It uploads the file to the right folder in a SharePoint library or in OneDrive, by month or by supplier, as your task describes it, for example the way your tax advisor wants them. Uploading asks first, so you allow it once after the test run, and from then on receipts are filed on their own.

Accounting software, through its API

Stedia has no accounting tool of its own. If your accounting software has an API, an admin connects it on Business or Enterprise under “Connected tools”, “Add your own”, “Import an API”, with up to 15 actions, and decides which of them get “Asks first”. A bank export works too: save it as CSV, attach it in the chat, and Stedia reads it as a table.

Every decision on record

Stedia records every decision: which action, who approved or denied it, and when. The same record is kept when an action ran because you allowed it in advance on a schedule. Under “Inspect run” you see a run step by step, with every tool it used and every approval. Runs are kept for 180 days. The conversations they wrote to stay after that.

Your figures stay protected

Stedia stores your data in the EU and encrypts the access to every tool. The AI never sees passwords or tokens: our server calls the tool and hands the model only the result. Switch “Region” under “Settings → AI settings” to “European Union” to keep AI processing in the EU. Stedia can make mistakes, so read an overview before you pass it on.

Hosted in the EU, AI in the EU if you choose. Built in Austria, GDPR compliant.
