File receipts

Stedia reads every receipt and files it in the right folder.

When an invoice arrives by email, Stedia opens the attachment. You see who sent it, the amount and when it is due. It then suggests the right folder in SharePoint, OneDrive or Google Drive. The upload runs once you approve.

Stedia read an invoice PDF from a Gmail message and states the amount and the due date. Example data.

How it works

  1. The receipt arrives

An email with an invoice attached lands in Gmail or Outlook.

  2. Stedia reads it

It opens the PDF and names sender, amount and due date.

  3. You approve the filing

The upload to SharePoint, OneDrive or Google Drive waits on a card until you approve it.

In detail

Read straight from the email

Stedia lists and reads mail in Gmail or Outlook without asking. Ask it to find the last email from a supplier with an invoice attached and tell you the amount due, and it answers with the figures from the PDF.

Into the right folder

In SharePoint, Stedia searches sites, libraries and files on its own. Uploading, creating a folder, renaming or moving ask first. In OneDrive and Google Drive, reading runs without a prompt, and uploading and other changes ask first. Describe your folder structure once, for example one folder per year and month, and Stedia picks the folder and shows it on the card.

A line in your list

Stedia can add each receipt as a row to a Google Sheet: date, sender, amount, due date. “Append rows” adds below the last filled row without touching anything above, asks first, and can be undone from the chat for 15 minutes. If your bookkeeping runs in your own system, connect it through its API, and Stedia uses the actions you pick for it.

A schedule collects them every week

A schedule can collect what came in, every Monday at 8. The help center suggests this task: “Search my Gmail for invoices I received in the last 30 days that are still unpaid or overdue. List sender, amount and due date, oldest first.” A task that only reads needs no approvals. Add the filing once the list looks right.

One card holds many receipts

When Stedia wants to file several receipts at once, one card holds them all. Step through them or use “Approve all”. On a schedule, you decide after the test run whether uploads may run without asking. An approval covers exactly the action on the card, with the file and the folder you saw.

Whose mailbox, whose folders

Connect your mailbox as “Personal”, so Stedia reads only your mail. A Workspace connection shares one person’s mailbox with everyone in the workspace. Stedia can only act where you have a connection, and an admin can switch a tool off for the whole workspace under “Settings → Tools and knowledge”.
