Answer customer inquiries

Every customer inquiry gets a draft reply.

Stedia reads the inquiry in Gmail or Outlook, looks up free times in your calendar and prices in your own lists, and writes the reply. You read it, change what you like and approve. Nothing is sent before that.

Stedia chat: a reply to a law firm with two free times and a package from the offer list, the Gmail email sent
A law firm asks for a first meeting: Stedia found two free times and the matching package, and the Gmail reply is sent. Example data.

How it works

  1. The inquiry arrives

You ask in a chat, or a schedule goes through the inbox at set times.

  2. Stedia looks it up

It reads your calendar, price list, shop or knowledge base and writes the reply.

  3. You approve the reply

The card shows recipient, subject and full text, and Gmail or Outlook sends it only after your approval.

In detail

From Gmail or Outlook

Stedia lists and reads the mail in a connected mailbox without asking. Creating a draft, sending and replying ask first. Connect your own mailbox as “Personal”: a Workspace connection uses one person’s mailbox, and everyone who uses it reads and sends as that person. With both connected, type @ in the chat and pick the one you mean.

Free times from your calendar

For a meeting request, Stedia proposes times from Google Calendar. It reads busy windows only, never what the events are, and offers slots inside working hours. Nothing is booked until you approve the event, and the card shows the times and the guest list first. Outlook calendars work too: creating, changing or cancelling an event asks first.

Prices from your own lists

Stedia takes prices and packages from where you keep them: a Google Sheet, a price list in Google Drive, or the products and orders in Shopify. All of that is read without asking. Documents to search on every question, such as a handbook or your terms, go into a knowledge base under “Resources → Knowledge”, and Stedia names the document the answer came from.

One way of answering for the team

An admin sets up an assistant once: which tools it uses, where prices come from, when it asks back. The offer writer in the help center says “Never invent a price or a discount” and asks for the quantity when it is missing. Test it with your own examples, publish it, and everyone on the team starts chats from it.

The inbox on a schedule

A schedule can go through new emails every weekday morning, or as often as every 5 minutes, and pick out the ones that need an answer. The test run before activation sends nothing and lists every action it would take. If you allow only “Create draft”, the replies wait as drafts in your mailbox and you send them yourself.

Replies arrive in your layout

Every reply stops on an approval card with recipient, subject and the full text. Change it, approve it, or deny it with a note. An action preset on “Send email” or “Create draft” can carry your own HTML email: Stedia writes into it, and your logo, colors, footer and legal lines stay as you designed them. The card shows the email as it will arrive.
