Follow up with suppliers

Late suppliers get a follow-up every week.

Stedia checks which orders are overdue, writes a short follow-up to each supplier and reads their replies. It tells you which deliveries are confirmed and which are still open. Every email waits for your approval, unless you allowed sending on the schedule.

How it works

  1. Stedia finds what is late

It reads your order list and picks out the deliveries past their date.

  2. It writes to each supplier

One short email per order, with the order number and the date you were promised.

  3. You keep the overview

The replies are summed up in one list: confirmed, new date, no answer yet.

In detail

Where the orders are

Stedia reads your supplier orders from where you keep them: a Google Sheet with order number, supplier and expected date, or your inventory or ordering system, connected through its API. An admin adds such a system on Business and Enterprise and writes a line for Stedia, as the help center suggests: “Use this tool for stock levels and supplier orders.”

A follow-up per supplier

Stedia writes to each supplier through Outlook or Gmail, as a reply to the original order if you like, and keeps it short: order number, promised date, a request for a new one. Replying and sending ask first. An action preset on “Send email” sets the sender and the tone for every follow-up.

Every Wednesday

Set the schedule to “every Wednesday at 9” in your own words, and “Next runs” shows when it fires. The test run sends nothing and lists the emails it would write. Then allow replying, or only creating drafts, depending on whether follow-ups may go out on their own or wait as drafts in your mailbox.

Answers in one place

On the next run, Stedia reads the suppliers’ replies and sums them up in the schedule’s conversation: confirmed, new date, no answer yet. Each run sees what the last few runs concluded, and any note you left there, such as “Order 4471 arrived”.

The shop in view

If a product will arrive late, Stedia reads it in Shopify and can prepare a change, such as setting it to draft. Creating and updating a product ask first. Questions from customers about their order are a separate job: Stedia answers them with data from Shopify, and each reply waits for you.

What waits for your approval

Emails that ask first collect on the Activity tab under “Needs you”, with the email to the supplier on the card. “Approval wait” sets how long a run waits for your approval, between 1 hour and 7 days. If your team works in Microsoft Teams, Stedia can post the open deliveries to a channel, which asks first too.
