Every Friday, each client’s status report is ready.
Stedia summarizes new inquiries and drafts a first reply. Shortly before each meeting it gathers what you need to know about the client, and on Fridays it drafts a status report for every project.
Three jobs for a consultancy or agency: summarize new inquiries, a briefing before each client meeting, the status report on Fridays.
How it works
Stedia reads mail, calendar and notes
Outlook, Google Calendar and your project notes in Google Docs, without asking.
It prepares the work
A summary with a draft reply, a briefing before the meeting, a status report per client.
You check and send
Drafts and reports wait for you. Nothing reaches a client before you send or approve it.
In detail
New inquiries, summarized
At a fixed interval, as often as every 5 minutes, Stedia goes through new mail in Outlook. For each inquiry it notes what the client wants, by when and what is still missing, and drafts a first reply with your rates from the price list in Google Drive. Once you allow drafts on the schedule, the reply waits in your Outlook drafts and the summary in the schedule’s conversation.
A briefing before each meeting
A schedule looks at Google Calendar on a fixed interval, every 15 minutes for example. When a client meeting comes up, Stedia gathers the last emails with that client, open points from your notes and the agenda from the invitation, and writes a short briefing. It lands in the schedule’s conversation, and a dot in the sidebar marks it until you open it.
Status reports on Fridays
At 15:00 on Fridays, Stedia reads the week’s emails and notes for each client and drafts a status report: what got done, what comes next, what the client needs to decide. Each report becomes its own Google Doc. Creating a document asks first, so you allow it once after the test run. Or ask for a PDF on your stationery, ready to send.
An offer writer for the team
An assistant writes offers the same way for everyone: prices only from the price list in Google Drive, never an invented discount, and a question back when the scope or the date is missing. It returns the offer as a PDF on your letterhead, with a short cover email as a Gmail draft. Before an admin publishes it, “Testing” checks it against example requests.
You decide who sees client files
Connect your mailbox as “Personal”, so only you work with it. A “Workspace” connection shares one person’s mailbox with everyone in the workspace. Anyone whose chat can reach a knowledge base finds everything in it, so on Business and Enterprise an admin sets each knowledge base per team. Anyone added to a shared chat sees all of it, so share a client chat only with the people who work for that client.
Calendar changes ask first
Stedia reads the calendar and proposes free times without asking. Booking, moving or cancelling a meeting asks first, and the card shows the times and the guest list before you approve. Changing the guest list replaces it, so anyone missing from the list you approve is removed from the event. Some actions can be undone for 15 minutes after they ran.
